Refunds, and What They Do Not Unwind

A refund only sends captured money back through the payment provider. It leaves the original payment record, order state, access rights, fulfilment, tax, commission, seller balances, rewards, inventory, and dispute handling untouched unless your system runs explicit reversal logic for each affected domain.

Refunds — Refunds exist to move captured money back on a payment rail, but without separate reversal logic they do not undo entitlement, invoices, tax, commissions, inventory, fulfillment, rewards, or dispute state.

Common questions

Does refunding a payment cancel the order automatically?
No. A refund is a money movement on the payment rail, not an order cancellation. Your order system still needs to cancel fulfilment, remove access, restock inventory, reverse rewards, update invoices, and post accounting entries. Payment providers usually preserve the original payment as history and attach refund records to it.
Can I treat a refund request as completed immediately?
No. Some providers expose refund states such as pending, successful, failed, or cancelled. If you grant wallet credit, replacement goods, or account balance at request time, a later failed refund can give the customer both the original funds and extra value. Reconcile against confirmed provider status.
What should be reconciled after a full or partial refund?
Reconcile customer cash, successful refunds, chargebacks, entitlements, revenue, tax, commissions, platform fees, seller balances, and fulfilment state. The core check is that your ledger’s net customer-paid amount matches captured money minus confirmed refunds and chargebacks, while access and business records match the remaining paid value.
